Dropbox business might be the answer you are looking for. Regardless of your staff being in one office or many. Working from home or on the road Dropbox business can be setup to work just like your network drives over the internet on each computer.

The best part about this solution is even without internet access staff can still access files, they will then sync when the internet is back online. Which is great for working out of town when you have no internet access. We personally use this product and love it.

Setup Plan

  1. We setup a new Dropbox Team

  2. Add top level folders then create permissions

  3. Only add the appropriate staff member to each folder.

  4. Install Dropbox Business on each team members machine / phone / tablet

  5. Move all the data to the new folder location and wait for the files to upload.

  6. Teach staff how to use the Dropbox solution.

SmartSync

Have too much data for a single computer to sync? No worries. SmartSync is the answer.

SmartSync is a Dropbox feature that helps you save space on your hard drive. Access every file and folder in your Dropbox account from your computer, using virtually no hard drive space. Smart Sync is available for members of Dropbox Business teams.

With Smart Sync, you can:

Choose if individual files or folders are available online-only or locally on your computer

Select a default sync setting for new files and folders that are shared with you

With Smart Sync, content on your computer is available as either online-only, local, or in mixed state folders.

Online-only Content

Online-only content shows in your local Dropbox folder, but doesn’t use the full amount of space that the file would. In your file explorer, you can see the file, but the content isn’t fully downloaded until you need it. Only information about the file, such as the file name, location, and date the file was updated, is downloaded.

Local content

Local content is downloaded and saved on the hard drive of your computer. You can directly edit these files from applications on your computer.

Mixed state folders

Mixed state folders contain both local and online-only content.

Cost of Dropbox

Dropbox Business is a minimum of 3 users / at $21 per month /per user. This is billed from TranTech directly and is a yearly commitment. More users can be added at any time.

Space limit 5TB of space. Unlimited space is available at $33 per month / per user.

For TranTech to do the cut over, our estimated time varies depending on the amounts of data and the permission setup. We only charge for time spent on the job.
